Minutes from Transition Meeting on January 22, 2009.

Participants:
No list of participants was taken at this meeting

Goals of the meeting:

  • Communicate the updates of the various committees, identify and outline the Decisions, Action Items and Goals (Parking Lot) of each sub-committee.
  • Establish a framework of times.
  • Meet with County Representative to discuss Transportation (no show)

Communication Review:

  • Please let each other and Zadia know who and when we are meeting.
  • Go to Yahoo Groups at TPES-Grosvenor-Committee to receive emails and updates
  • PTA meeting notes and meeting times are at TPESPTA.org

Secretary Identified:
Geneva Watenpaugh offered to take over responsibilities of Secretary, as she is able.  Responsibilities include taking minutes, administering minutes, and securing meeting site.

CONSTRUCTION
Update: 
Marc met with the Project Manager and Chris Barclay (Financial Committee) to identify status of Construction Plan.  Meeting notes had been sent to Zadia.

  • 9.2 Billion dollar contract has been issued
  • A small, local, family owned business was awarded the contract
    • This company would like all communication to go to and from Zadia
    • Project Manager has stated that bi-monthly updates will be sent to Zadia
      • Construction is currently behind schedule. 

Is there an update with new schedule?

DECISIONS:

  • Continue to try to meet with County Budget People

ACTION ITEMS:

  • Ask Zadia to share monthly project reports
  • Contact Valerie Ervin re: contacting finance people and to bring her into the loop of the overall project to her best ability

GOALS FOR NEXT MEETING:

  • Continue to try to meet with County Budget People

 

TRANSPORTATION
Update: 
DECISIONS:

ACTION ITEMS:

  • What is the definition of ‘dedicated fleet’?
  • Identify budget for Buses

Where is the money coming from?
How secure is funding?

  • Identify price of Activity Bus
  • Identify transportation for weekend field trips to Grosvenor
  • Transportation drives the start time of school for current school in Grosvenor.  What does that mean for TPES?

GOALS FOR NEXT MEETING:

  • Meet with Transportation representative from county

PRE MOVE PREP
Update:
Group met with Zadia in December to discuss pre move preparation.

DECISIONS:

  • Planning field trips and mixers
    • Grosvenor is not available during the school day while the current school is on site (too disruptive).
    • Current school on site at Grosvenor until July 1, 2009

ACTION ITEMS:

  • A meeting with the students to discuss the move has not yet occurred.
  • Talk to Zadia about a new date.  It is understood that the meeting with the students should be scheduled once the construction schedule has been completely solidified.
  • Schedule trips/mixers
    • Contact ICB about available dates
    • Talk to Zadia about a new date.  It is understood that the meeting with the students should be scheduled once the construction
  • Contact teachers and receive guidance on what their needs are for the move (packing, unpacking, etc)

GOALS FOR NEXT MEETING:

 

AFTER SCHOOL

DECISIONS:

    • After school program should be coordinated through Recreation Center
    • Keep one night per week at PBES for meetings, social etc

ACTION ITEMS:

  • Continue working on after school location decisions
  • Contact PBES about using school as a contingency drop off location.
    • No child left alone
    • Nina to follow up with Rec center and PBES

GOALS FOR NEXT MEETING:

OUTREACH
Update:

  • Grosvenor has been visited
    • Lots of light and great, large outdoor space
    • No separate gym.  Gym activities are in small multi purpose room
    • Portables are in good condition

  • Met with Staff Development Person at Bells Mill for information share about their move
    • Transportation was a huge issue
      • No problems with buses
      • No drop off for families in cars.  Buses only
          • Is this county policy or school policy

DECISIONS:

  • Contact local pre-schools to discuss/identify concerns
    • Connect Pre-schools with PTA list serve for communication source

ACTION ITEMS:

  • Create a FAQ section on Web site – multi language
  • Create FAQ hand out sheet – multi language
  • Plan field trip for incoming k’s
  • Contact Bells Mill Principal about transportation for families who prefer drop off versus bus
  • Talk to Zadia and Pam about preferred location of conferences
  • Connect with local neighborhood list serves – Katya
  • Lisa to contact IMPACT

HEADS OF GROSVENOR

ACTION ITEMS:

  • Compose a letter with Zadia to bring Valerie Ervin to be of overall and specific support
    • Bring letter to local council people for support
    • Suggest meeting?
  • Nina and Lisa to meet with Zadia and update outstanding action items of the sub committees
  • Make certain that Zadia is on TPES_Grosvenor_Committee yahoo groups list
  • Connect with city and see where they stand
