This meeting was the first meeting of the planning committee.
The goals of the meeting were to establish a time-line, ground rules for how we operate, and requests from sub-committees of the full committee.
Ground Rules
- No outside communication except for inquiries/information gathering. All communication suggesting or reporting out on decisions must be cleared by the executive committee.
- At least one rep from every sub-committee must attend every meeting.
- When communicating with the county, all committee chairs and executive team must be notified of time and content. This is important for the purposes of coordinating communication across committees. Some issues may have implications for the discussions of other committees. Also, more than one committee may have a question for the same contact and the PTA rep making the contact can present questions on behalf of other committees.
Sub-Committee Report out on Follow up needs
we broke out into sub-committees and planned our internal working sub-committee strategies and needs. Sub-committees were asked to identify chairs, establish an internal time line, create meeting/communication strategy, identify needs from the Grosvenor Planning exec. Committee, and assign internal tasks. Following are the report outs:
Parent-Teacher Outreach
- -Would like contact information from parents/PTA reps from other re-located schools by January.
- - Identify a contact person from the Transportation Department
Construction Committee
- - will oversee project financing and budget for bus fleet.
- - since meeting, the Cluster rep requested that we also look out for the budget for the ESS expansion as this is related to the TPES and their PTA representation is minimal
Pre-Move Prep
- -wants to set up a meeting with Zadia and Abby to discuss opportunities to engage the school and children in the moving process.
Transportation
- - needs a contact in the transportation department to work with the committee.
- - need contacts from other schools that had to deal with these issues by first week in January. We will invite them to a planning meeting to respond to the questions.
After School Programs
- - This committee will be meeting with reps from various schools and organizations to see what the opportunities are for after and before care.
- - this will require coordination with transportation sub-committee
- -no-one was present to discuss after school programs so this will be taken up before the next planning meeting.
Timeline
- First week of January - develop a list of questions for parent contacts from other re-located schools. Identify contact from other schools and invite them to the next planning meeting.
- January 22 - next Grosvenor Planning Committee - committee report out and conversation with representatives from other schools.
- First week of Feb - PTA meeting report out
- Last week of Feb. - Grosvenor Planning Meeting
- First week of March - PTA meeting
- -- Report out draft findings of the committee to the public for comment.
- Last week of March - Grosvenor Planning Meeting - respond to feedback and adjust as necessary.
- April 1 - all decisions made
- First week of April - PTA meeting report out
- April 20th - communication packages prepared for the public and kindergarten orientation
- April 24th - kindergarten orientation
